Privacy Policy

What we collect

We collect only information needed to provide AyaScope: purchase e-mail, Stripe customer and subscription identifiers, plan and payment status, machine identifier and activation history, trial eligibility, support messages, security logs, and marketing consent when you actively subscribe. Microscopy files and scientific results remain local unless you deliberately send them to support.

Payments

Card and bank details are entered on Stripe-hosted Checkout and are processed by Stripe. AyaScope does not receive or store full payment-card numbers or security codes. We retain transaction identifiers, plan, amount, tax and subscription state for fulfilment, accounting, fraud prevention and legal compliance.

Purposes and legal bases

  • Contract: deliver downloads, trials, subscriptions, keys, activation and support.
  • Legitimate interests: secure the service, prevent trial or licence abuse, diagnose failures and maintain audit records.
  • Consent: optional product news and marketing. Consent is separate from purchase and can be withdrawn.
  • Legal obligation: tax, accounting, sanctions and breach-response records.

Marketing e-mail and consent records

Marketing subscription uses double opt-in: the unchecked website choice creates a pending record and a separate confirmation link is required before any campaign is sent. We retain the consent text, timestamp, source and confirmation or unsubscribe event so the choice can be demonstrated. Purchase and support e-mail addresses are not added automatically. A minimal suppression record is retained after unsubscribe so the address is not accidentally re-added. Commercial campaigns include a one-step unsubscribe link and are blocked until a valid physical postal address is configured.

Only an authorised owner and operator can view the customer and consent register in the protected administrator panel. Administrative access and campaign sends are logged; the panel does not reveal account passwords, payment credentials or complete licence keys.

Retention

Transaction and tax records are normally retained for seven years; subscription and activation records for the subscription term plus three years; trial anti-abuse records for three years; support tickets for two years after closure; operational security logs for up to twelve months; marketing records until unsubscribe, plus a minimal suppression record so we honour the request. Unconfirmed subscription records are deleted after 30 days. Expired administrator sessions, stale sign-in failures, old audit events, unconfirmed subscriptions and closed support tickets are cleaned automatically; legal, licence and payment records are reviewed before deletion so active access and mandatory accounting evidence are not damaged. Longer retention applies only when required for a dispute or law.

Processors and international transfers

We use Netlify for hosting and server functions, Stripe for billing, and Resend when e-mail delivery is configured. These providers process data under their own contractual and security terms. Data may be processed in the United States and other countries using lawful transfer safeguards where required.

Your choices and rights

You may request access, correction, deletion, portability, restriction or objection, and may withdraw marketing consent, subject to applicable law and records we must retain. We do not sell personal data, use it for cross-context behavioural advertising, or train AI models on customer data. Send requests to info@ayascope.com. We may verify the request before acting. You may also complain to your local data-protection authority.

Security and incidents

We use TLS, server-side payment validation, signed licence and update records, encrypted stored licence keys, least-privilege administration, rate limits and audit logging. No system is risk-free. We investigate incidents and provide notices required by applicable law, including Florida Statutes section 501.171.

Children and changes

AyaScope is professional scientific software and is not directed to children. We do not knowingly collect data from children under 16. Material policy changes will be dated and, where required, notified before they take effect.
